STUDIO TERMS AND POLICIES

 

ASSUMPTION OF RISK AND RELEASE

 By participating in any class or activity at ROAM STUDIO (“ROAM”), you acknowledge and agree to the following:

 

  • Safekeeping of belongings: ROAM is not responsible for the safekeeping, loss, theft, or damage of any personal belongings.
  • Voluntary participation: You understand classes may be physically strenuous and you voluntarily participate with full knowledge of the risks of personal injury, property loss, or death.
  • Release of claims: You, your heirs, assigns, and legal representatives agree not to sue and to waive and release any and all claims of any kind against ROAM Studio, its owners, members, employees, and agents for personal injury, property damage/loss, or wrongful death, whether caused by negligence or otherwise.

 

You further agree to comply with ROAM’s cancellation and attendance policies outlined below.

 

GRIPPED SOCKS REQUIRED IN CARVE

 Gripped socks are required in all CARVE classes. No exceptions will be made. We offer a variety of styles and sizes for purchase at the studio.

 

TENNIS SHOES REQUIRED IN CLIMB

Athletic footwear (tennis shoes, sneakers, etc.) is required in all CLIMB classes. This is a non-negotiable safety measure.

 

FIRST-TIME CLIENTS MUST ARRIVE 10 MINUTES EARLY

First time at ROAM? Please arrive at least 10 minutes prior to your scheduled class. This allows time for check-in, waiver completion, orientation, and a chance to meet your instructor. Arriving less than 5 minutes before class will result in forfeiture of your spot for safety reasons. If this happens, your class will be returned to your account to reschedule.

 

If you booked through a third-party booking service (Classpass or Wellhub) you will not be rescheduled and a loss of class credits and/or fee will incur through the respective service and not directly from ROAM.

 

 

STUDIO OPENS 10 MINUTES BEFORE CLASS + DOORS LOCK AT START TIME

The studio opens 10 minutes before class begins. Doors lock at the scheduled class time, and no late entries will be permitted. Please plan ahead to avoid being locked out. Late arrivals are subject to our late cancel and no-show fees.

 

LEAVING CLASS EARLY

 We kindly ask that you stay for the entire class. If you must leave early, notify your instructor in advance so they can place you in a spot that minimizes disruption.

 

BOOKING WINDOW

  • Founding Members: Up to 30 days in advance
  • Unlimited & Auto-Pay Members: Up to 21 days in advance
  • Class Pack Holders & Drop-Ins: Up to 14 days in advance

 

CLASS CANCELLATION & NO-SHOW POLICY

 Due to limited spots and high demand, we ask you to respect our cancellation policy:

Cancellations must be made via the Momence app. at least 8 hours before class.

No cancellations via text, email, or phone calls will be accepted, no exceptions.

 

UNLIMITED MEMBERSHIPS:

Late cancel (<8 hrs): $20 fee

No-show: $30 fee

 

CLASS PACKAGES / LIMITED MEMBERSHIPS:

Late cancel (<8 hrs): Class will be deducted

No-show: $30 fee and class will be deducted

 

Switching to a different class on the same day still counts as a late cancellation for the original reservation. Failure to show to class results in a $30 no-show fee. 

 

Illness or weather-related absences are still subject to these policies.

 

Any discrepancies in late cancel or no-show fees must be emailed to hello@roamstudio.co within 48 hours of class start time

 

WAITLIST POLICY

Waitlists are active up to 1 hour (60 minutes) before class. If a spot opens:

You’ll be auto-added and notified via email/text up to 60 minutes before class.

You’re responsible for removing yourself from the waitlist if you no longer wish to attend. Be mindful of early morning classes. Remove yourself before bed if you don’t want to be added overnight.

 

If added from the waitlist and you don’t attend, late cancel or no-show fees apply.

 

MEMBERSHIP TERMS

By purchasing a membership, you authorize ROAM to charge your card every 28 days. Membership fees may increase at our discretion. You are responsible for keeping your payment information current.

 

Memberships may be suspended for missed payments. We reserve the right to cancel any membership with 30 days’ written notice, or sooner if cause is given.

 

Recurring memberships: Bill automatically based on the plan interval. All charges are final once processed.

 

 

MEMBERSHIP HOLDS

Memberships may be placed on hold for 2 to 4 weeks, up to twice per calendar year.

$40 hold fee applies per instance

Medical holds require a doctor’s note

Founding Member Memberships are not eligible for holds

 

MEMBERSHIP CANCELLATION 

All memberships have a 3-month minimum commitment. After that:

Cancel with 7 days’ written notice by emailing hello@roamstudio.co

Include your reason to help us process it quickly.

 

CLASS PACKAGE EXPIRATION

Standard class packs expire in 12 months. Promo packs may have different timelines, which will be clearly stated at purchase.

 

ALL SALES FINAL

All purchases—memberships, class packs, gift cards, apparel, and events are final sale, non-refundable, and non-transferable.

 

Any discrepancies in charges from late-cancel or no-show fees must be disputed within 48 hours of the charge in question. There are no exceptions.

Clothing may be exchanged only if unworn and with tags attached.

 

FOOD & DRINK IN STUDIOS

Only water in a sealed container is allowed in the CLIMB and CARVE rooms. All other food and beverages must stay in the cubby area.

 

NO GLASS

Glass bottles and jars are not allowed in class. This is a safety hazard in both dark rooms and sock-only settings.

 

AGE REQUIREMENT

Participants must be 14 or older. Clients under 18 require a parent-signed waiver.

 

PREGNANCY PRECAUTIONS

If you’re pregnant, consult your doctor before class. With medical clearance:

Arrive early and notify your instructor for necessary modifications

Modern Pilates is recommended for those not new to the practice, and core modifications will be needed past 12 weeks. Climb is safe to take at your own pace, always listen to your body.

 

INSTRUCTOR & CLASS CHANGES

We reserve the right to change instructors or cancel classes without notice. These changes do not qualify for refunds.

 

WAIVER & RELEASE

All clients must have a signed waiver on file before participating in class.
